Customizing Service Emails

ClubExpress allows many system emails (see System Emails) to be customized, including emails generated by the Village Services modules.

This is done on the Control Panel – Communications tab – Setup section – System Emails screen. The following services-related emails can be customized:

  • Become a Service Provider Notification to Admin
  • Become a Service Provider Notification to Service Provider
  • Send Request to Service Provider
  • Service Request Cancellation by Member
  • Service Request Cancellation to Member
  • Service Request Cancellation to Service Provider
  • Service Request Confirmation to Member
  • Service Request Confirmation to Service Provider
  • Service Request Confirmation to Volunteer Provider (VSS)
  • Service Request Not Needed
  • Volunteer Password Reset (VSS)

There are some special tags that appear in the email template, indicated by double angle brackets ( {{ }} ). Anything between these tags will be repeated from a list that is built in code (by the developer), in this case, it is a list of the service providers selected for the service request. This is where any service provider tag can be specified so that information will appear on the confirmation email to members. Customers will have the flexibility to specify as much service provider information they are comfortable with.

A number of custom ~~tags~~ can be added to or removed from service request emails, including the following:

  • Service Name, Date/Time,
  • Service Provider First Name, Name, Phone, Mobile Phone, Email Address
  • Requesting Member First Name, Name, Address, Location, Phone, Mobile Phone, Email Address
  • Emergency Contact Email, Name, Phone, Relationship
  • Instructions
  • Short Description
  • Office Phone (your phone number configured in Control Panel > Village > Setup > Name and Description)
  • Destination Name, Address1, Address2, City/State/Zip, Phone, Website, Metro Area, Map Link
  • Starting Location
  • Date/Time Flexible
  • Service Request Number
  • Service Date/Time (long format)
  • Special Instructions
  • Transportation Type

Some emails contain special tags indicated by double brackets ({{ }}). Any items within these tags will be repeated from a list, for example, a list of service providers selected for a service request.

Note: These special tags must not be changed. Changing the special tags noted by double brackets will disable the tags and the necessary information will not be entered into the email.

Within the special tags you will see additional normal tags indicated by double tildes (~~ ~~). These tags will populate the listed items with the appropriate information. For example, in the list of service providers selected for a service request, you may want to show their name, phone number and email, but not their address. Tags that can be included or removed from the list within the email are:

  • First Name
  • Name
  • Phone
  • Email
  • Mobile Phone
  • Last Name
  • Company
  • Company URL
  • Address1
  • Address2
  • City
  • State
  • Zip
  • Metro Area

Note: Adding the Destination Map Link to a service request confirmation email will include a Google Map icon in the email sent to the service provider. Clicking this icon opens a browser window showing the location of and directions to the member’s house.
