If an event on your calendar is no longer occurring, there are a few approaches to handling that change.
Delete the Event
If an event does not allow for users to register online, or if no users have yet registered online for the event, then the event is eligible for deletion. Deleting the event will remove it from both the calendar and the Events Manager pages entirely. This process cannot be reversed, and all information contained within that event will be permanently deleted. If the event should be removed, but could be referenced or used as a template for future events, instead see the Archive option below.
To delete an event, use the following steps:
- Navigate to the Control Panel → Website tab → Events
- From the Events Manager Page, search for your event using the filter tools
- Once found, select the Actions drop-down for that event and the option to Delete/Archive should appear
- Select the Delete option from the pop-up to remove the event entirely
If the delete action is not available, there may be registration information connected to your event. Even cancelled registrations will prevent an event from being deleted entirely as they may contain transaction data. You can instead Archive the event to remove it from your calendar.
Cancel the Event
If a scheduled event has registrants that should be notified of the event's cancellation, you can use the Cancel option to disable registration, cancel the registrations of all currently registered users, and show the event on your calendar as "Cancelled".
Note: Taking this action will have the following effects:
- All registered users will receive an email notification informing them of the event's cancellation.
- Any registrants that paid for their event registrations will be given a credit for the amount paid for their registration (minus an cancellation fees).
- The event will remain on the calendar, but registration will be disabled and the text "CANCELLED" will be added to the event's title.
- To remove the Event from the calendar see the Archive option below.
To cancel an event, use the following steps:
- Navigate to the Control Panel → Website tab → Events
- From the Events Manager Page, search for your event using the filter tools
- Once found, select the Actions drop-down and Select the Edit action (for QuickEvents, instead select the View action)
- Select the Cancel option from the row of event control buttons
- You will be prompted multiple times to confirm the cancellation
Archive the Event
Archiving an event will remove the event from the calendar while preserving all of the data stored in the event. This is useful for cancelled events that need to be taken off the calendar entirely, or for events you would like to store as templates to be copied/reused in the future.
To archive an event, use the following steps:
- Navigate to the Control Panel → Website tab → Events
- From the Events Manager Page, search for your event using the filter tools
- Once found, select the Actions drop-down for that event and the option to Delete/Archive should appear
- Select the Archive option from the pop-up to hide and store the event
- The additional option to re-categorize the event will appear when archiving an event
Once an event has been cancelled or archived, it will no longer appear in the Event Manager's default search results. To edit, copy, or run reports for an archived or cancelled event, be sure to alter the Event Manager search to include events with the status Archived or Cancelled.
