In the Volunteering Administration screen, you will find the Mass Log Hours button.
Clicking that button will take you to the Mass Log Hours page where you can take a number of actions:
Search for Pending Approval Hours
Use the search box to find all volunteer hours completed by volunteers.
You can filter the results by a specific Opportunity, Slot, Slot Date, or volunteer name.
Click Search once you have your desired filters entered to see matching volunteer data.
The results will have the volunteer's name, the opportunity they volunteered for, and the slot they filled for that opportunity. If hours have already been entered then you will see the volunteer hours they completed. If not, then the Log Hours box will be blank.
Update/Enter Volunteer Hours
Once you've searched for your volunteers, you can enter or update their amount of hours they volunteered.
By checking the box in the left column, you select that row to enter/update the completed hours. You can then enter or change the number of hours volunteered in the Log Hours column.
Once you've selected and entered all the hours that need to be updated, scroll to the bottom of the page and click the Save button to apply your changes.
Add Volunteer to a Slot
If someone volunteered without signing up online, you can use one of the three Add Volunteer buttons at the top of the screen to add a user to an open slot:
- Add Single Non-Member Volunteer: This option allows you to enter or select a non-member in your database to added as a volunteer
- Add Multiple Member Volunteers: this option allows you to select multiple members to all be added to the same open volunteering slot
- Add Single Member Volunteer: this option will allow you to add a single member to an open volunteering slot
For each of the above options you will select an existing opportunity, an available slot, and the number of hours that were volunteered.
The number of volunteers added cannot exceed the maximum number of volunteers needed for the slot. If no appropriate slots are available, you can select the Ad Hoc Slot option and create a new slot within the selected opportunity for the volunteer to be recorded in.
Ad Hoc Slots cannot be edited once created and cannot be seen in the Public side of the Volunteering module. They are intended only to credit volunteer hours that do not fit within existing slots. Member Volunteers will be able to see the Ad Hoc Slot when they view their volunteering history in their member profile.
