Overview
Zapier is an automation platform that acts as a bridge between software systems that would not otherwise communicate directly. The ClubExpress Zapier integration allows third-party platforms such as HubSpot, Google Calendar, and Mailchimp to receive membership, donation, renewal, and event-related data from ClubExpress through polling triggers and API-based integrations.
The integration is primarily designed for incremental synchronization (“from this point forward”) rather than as a full historical data migration tool. Zapier periodically polls ClubExpress data for new or updated records since the previous successful poll and then forwards those records to the connected third-party platform.
Configuration
To configure Zapier, head to Control Panel > Club tab > Zapier Options.
The Zapier Options page will display current API keys as well as the ability to create and manage keys and key permissions.
Creating and Managing Keys
Click the Generate API Key button to create a new key to integrate with Zapier.
The Zapier API key will only ever be displayed once. It is important that you document or store the generated key for your own documentation, as after the API Key pop-up window is closed, the key cannot be accessed from ClubExpress again.
API keys that have been generated are displayed in the manager table where permissions can be granted or they can be revoked. They are given a “prefix” so they can be recognized, and the “last used” date indicates if the key is actually in use:
Each key can be given various permissions which can be changed at any time. Multiple keys can be used with different permissions for each key.
It is NOT advised to set two or more keys with they same permissions (for example 2 keys that both use the Active Members permission).
It is instead advised to create a single separate key for each permission you wish to use for a Zap trigger.
